As part of any recruitment process, Orona collects and processes personal data relating to job applicants and potential job applicants. The organisation is committed to being transparent about how it collects and uses that data to ensure compliance with the guidelines set out in the General Data Protection Regulation (EU) 2016/679 which came into force on 25 May 2018.
What is Orona’s approach to recruitment?
Orona advertises roles on a number of websites, through which applicants will either be directed to our own website to apply, or can apply through the website on which the role has been identified.
The HR Department also access job board websites which hold CVs on their database to actively source applicants who they consider have the skills and experience for roles within the business. Individuals who have made their personal data publicly visible on these websites should have been asked to consent to the holding and publishing of this data. Orona will additionally request further consent to personal data processing to enable this individual to become an applicant for the purpose of recruitment activities within Orona.
All applicants, whether direct, or sourced through HR will be uploaded to and stored on Talent Clue (Job Recruitment Applicant tracking system) through which the Company will process the applicants data and contact applicants.
What information do we collect?
Orona collects a range of information about applicants which includes:
- Name, address and contact details, including email address and telephone number
- Details of qualifications, skills, experience and employment history
- Information about current level of remuneration, including benefit entitlements
- Whether or not the applicant has a disability for which the organisation needs to make reasonable adjustments during the recruitment process; and
- Information about entitlement to work in the Ireland.
Orona may collect this information in a variety of ways. For example, data may be requested via an online application form, CV, or obtained through an online application where the applicant will be asked to provide specific information.
Who has access to data?
Applicant information and interview related information will be stored via Talent Clue and may be shared internally for the purposes of the recruitment exercise. This includes members of the HR and recruitment team, interviewers involved in the process and managers in the business area with a vacancy. Data will be transferred to internal IT systems only once an offer of employment has been made. We will not share your data with third parties, unless your application for employment is successful and we make you an offer of employment.
What is the purpose of data processing?
Orona has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from applicants allows us to manage the recruitment process, assess and confirm an applicant's suitability for employment and decide to whom to offer a job. We may also need to process data from job applicants to respond to and defend against legal claims. No automated decisions will be made based on the personal data provided other than in cases where the applicants declares that they are unable to work in the Ireland, in which case their application will not progress through the selection process.
Orona may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics. We may also collect information about whether or not applicants are disabled to make reasonable adjustments for applicants who have a disability. We process such information to carry out its obligations and exercise specific rights in relation to employment.
The data collected will not be kept for longer than is necessary in order to comply with the purpose of the processing, as well as to comply with the current legal regulations applicable in each particular case.
If your application is unsuccessful, Orona may keep your personal data on file in case there are future employment opportunities for which you may be suited. The data collected will not be used for further processing other than that initially indicated, without the prior consent of the data subject.
Who in Orona is responsible for processing?

What are Applicants responsibilities in providing personal data?
The Applicant undertakes to provide accurate and truthful information in relation to their application. The Applicant guarantees the authenticity of all data provided and will be solely responsible for any false or inaccurate statements made and for any damage caused to the Company or third parties by the information provided.
How is data processed within the wider Orona organisation?
The data may be communicated to the other participating companies of the ORONA Business Group (www.jobs.orona-group.com/companies), all of them within the EU, for their current and future recruitment processes. Orona has Binding Corporate Rules aligned with EU Regulation 2016/679 for the processing of personal data that apply to all Orona companies.
No communication of data to third parties is envisaged, unless legally required. In the event of such a possibility being necessary, Orona would request the applicants consent.
What are an applicant’s rights in respect of data being processed?
As a data subject, applicants have a number of rights to:
- Access and obtain a copy of personal data on request
- Require the organisation to change incorrect or incomplete data
- Require the organisation to delete or stop processing data, for example where the data is no longer necessary for the purposes of processing
- Object to the processing of data
If an applicant would like to exercise any of these rights, please contact us via gdpr@orona-group.com. Once the application is received, the interested party will be informed of the necessary documentation to be filled in to exercise these rights, providing the necessary forms and models in each case.
If an applicant believes that the organisation has not complied with data protection rights, they can complain to the Information Commissioner.
How does Orona protect data?
We take the security of personal data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties.
How long does Orona keep recruitment data for?
If an application for employment is unsuccessful, the organisation will hold your data on file for 12 months after the end of the relevant recruitment process. At the end of that period, or once the applicant has withdrawn consent, data is deleted or destroyed. Applicants will be asked to give consent to hold details for the full 12 months in order to be considered for other positions.
If an application for employment is successful, personal data gathered during the recruitment process will be transferred to the Human Resources Department (electronic and paper based).
What if you do not provide personal data?
You are under no statutory or contractual obligation to provide data to Orona during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
